Technician recording a video health check

Your workshop

Four questions about your people and your throughput. Round numbers are good enough.

TechniciansHow many technicians work in your workshop? Everyone who inspects vehicles and would record the video health check. Used to work out how many videos each technician makes per day.
Service advisorsHow many service advisors do you have? The people who call customers for approval on recommended work today.
Workshop throughputHow many vehicles pass through your workshop per working day?per day Repair orders opened on an average day, service and repair combined.
Working daysHow many working days does your workshop run per month?days Preset to 21: Monday to Friday, 252 working days a year. Change it if you open on Saturdays.

Recommended work

Six questions about the work your technicians recommend and what happens to it today.

Recommended workOn what share of vehicles does the technician recommend additional work? Any red or amber item on the health check that needs the customer's approval: tyres, brakes, wipers, a leak, anything beyond the job the car came in for.

Average valueWhat is the average value of recommended work per vehicle?
€ Parts and labour together, per vehicle with a recommendation. Take the total recommended value over a month and divide by the number of vehicles it was recommended on.
Approval rate todayWhat share of that recommended work does the customer approve today? The most important number on this page. Approved value divided by recommended value, not the share of customers who say yes: most customers approve part of the advice. If you do not measure it, take your best estimate: most workshops without video sit between 50 and 70%.

Phone timeHow many minutes does one recommendation cost on the phone: calling, calling back, explaining, waiting for a decision?min per vehicle Add it all up per vehicle with a recommendation: the first call, the voicemail, the call back, the explanation, the customer who wants to think about it. An estimate is fine.
Explaining the workHow many minutes does a service advisor spend at handover explaining what was done and why?min per vehicle Walking the customer through the invoice, the extra items, why the brakes were done. Per vehicle, at collection. Optional. A customer who has seen the video already knows what was done and why.
MarginWhat is your gross margin on recommended work, parts and labour together?% Revenue minus parts cost and technician hours, as a share of revenue. Optional. With it, the page shows gross profit next to the extra revenue.
