Video response rate explained: what is a video response rate?
Video response rate is the percentage of sent videos that produce a customer action, calculated as videos that got a reply, click, booking or approval divided by videos sent. It is the outcome metric of the pair a manager watches, sitting directly downstream of adoption.
Watching is not responding. A customer can watch a two minute walkaround twice and do nothing, and that video has produced no response.
How is video response rate calculated?
Video response rate = videos that received a customer response divided by videos sent, times 100.
Some teams also run it on opens rather than sends, which isolates the message from the channel:
Response rate on opened = responses divided by videos opened, times 100.
Both are useful, and they diagnose different things. A low rate on sends with a healthy rate on opens means the delivery is failing, wrong channel, wrong number, spam folder. A healthy open rate with a low rate on opened means the video or the ask is failing. Decide which denominator your report uses and label it, the same discipline the send rate needs.

What counts as a response?
- A reply. Text, WhatsApp, email, or a voice note back.
- A button press. Approve, book, pay, call me back. See video call to action.
- An inbound call that can be tied to the send window.
- A booking or an approval recorded in the DMS shortly after the video went out.
What does not count: an open, a play, or a completion. Those are engagement, not response, and mixing them in inflates the number without changing a single outcome.
Video response rate explained: a worked example
A service team sends 212 inspection videos in a month. 174 are opened. 96 customers press a button, reply, or call back.
Response rate on sends is 96 divided by 212, or 45 percent. On opened it is 96 divided by 174, or 55 percent. The 38 videos that were never opened are the cheapest fix in the whole report: check whether those customers were emailed rather than texted, and whether the mobile numbers on file are current.
How it differs from view rate and engagement
Video engagement covers everything the customer did with the video itself: opened it, played it, watched 80 percent of it, came back to it the next day. Useful, and entirely upstream of the decision.
Response rate cares about one thing only. Did they act? A video with 100 percent completion and no response was interesting and asked for nothing. A 45 second video watched halfway that ends in an approval did its job. Track both, but manage on the second one.
Why it only means something next to send rate
A 90 percent response rate on nine videos is not a result. It is nine videos, sent by the one advisor who was always going to use the tool, to the nine customers most likely to reply anyway.
Read the two numbers as a pair and the diagnosis is quick. High send rate with a low response rate is a content and ask problem: the videos are going out and landing flat. Low send rate with a high response rate means the approach works and almost nobody is using it, which is the more expensive of the two. Both are visible only when send rate sits next to it on the same page.
What drags response rate down
- No clear ask. The video explains the situation beautifully and finishes with "let me know". Nothing to press.
- The wrong channel. A customer who has never opened an email from you will not start with this one. Send on the channel they already answer.
- Sent too late. An inspection video that arrives after the customer has left the building competes with the rest of their day.
- Too long. Past two minutes, response falls off well before completion does.
- No context in the message. An unexplained link from an unknown number gets deleted, however good the video behind it is.
- Asking for a decision the customer cannot make alone. If a partner or a fleet manager has to approve, give them a forwardable link and a reply option rather than a single approve button.
