Anyone can submit evidence through a link, on their own phone.

Guided capture

Your steps, your order, so you get the right evidence the first time.

Works without signal

Once the link is open, capture continues and uploads when reception returns.

Sealed evidence

A fingerprint per file shows whether anything changed after it arrived.

One process

From first report to verified work.

Venta Capture collects the evidence; your work order system keeps doing the rest. Tenants, contractors and site teams send in what you need before anyone travels, and every case lands in one shared inbox for review, escalation and sign-off.

Tenant and occupier reporting

Let tenants show you the problem.

Tenants and occupiers report leaks, damage and faults with guided photos, video and answers, plus their location when shared. Without downloading an app.

  • One link by SMS, WhatsApp, email or QR code
  • Your questions, in your order
  • Location by GPS or what3words, with permission

Supply chain verification

See the work. Then approve the invoice.

Ask the contractor to record the job in your format: the asset before, the work carried out and the site as it was left. Approve against evidence instead of a job sheet, and settle disputes with the file rather than an email thread.

  • No app and no account, for the contractor or their subcontractor
  • The same photo and video steps on every job, in your order
  • Sealed evidence if the work is questioned later

Escalation

Know when to involve a manager.

Escalation is part of the job. When a report needs more attention or more budget, the handler escalates it to a manager with a reason. The photos, video and history travel with it, and the decision is recorded on the same job.

  • Escalate a job to a manager with a reason
  • Review the full report, photos, videos and case history
  • Record decisions and keep the team informed

Offline capture

No signal? Keep capturing.

Basements, plant rooms and underground car parks are not always connected. Once the link has been opened, the session keeps running: every step is saved on the phone and uploaded when the connection returns. Your own teams, contractors and tenants all use the same link.

Keeps working without reception

Every step is saved on the phone and sent when the signal is back.

Pause and continue later

Stop halfway and finish later on the same phone.

Voice notes

Speak a note on site instead of typing.

Voice notes to text

Notes are transcribed automatically and readable in the job.

Scan codes and readings

Scan a barcode or QR code and log readings and asset numbers.

Checklists and sign-off

Rate each checkpoint and collect a signature on site.

FAQ

Questions from facilities teams.

Everything your team needs to know before getting started.

Do tenants or contractors need an app or account?

No. They open a secure link in the browser on their own phone, with nothing to install and no account to create.

Does this replace our CAFM or work order system?

No, it sits alongside it. Venta Capture collects guided evidence from tenants, the supply chain and your own site teams, and the report can be linked to the work order through a reference number, an export or an API.

Does Venta Capture include job management?

Every report arrives as a job in a shared inbox, with an assignee, your own statuses, notes, response times and a full history. You can ask for a resubmission when evidence is missing.

How does escalation work?

A handler escalates a job to a manager with a reason. The manager approves or rejects it, and both steps are recorded on the job. Response times per workflow can also notify a manager or reassign a job when they run out.

What is what3words and why use it?

what3words gives every 3 metre square a unique three-word address. Tenants and site teams can mark the exact spot on a map, which helps on large sites and where there is no street address, such as a plant room, a roof or a unit at the back of an estate.

Does it work without reception?

Yes, once the link has been opened with a connection. Photos, video and answers are saved on the phone and sent when the signal is back, which matters in basements, plant rooms and car parks.

Can contractors and our own site teams use it?

Yes. Send links to tenants and contractors, or let your own caretakers and engineers open the same workflow on site. Everything arrives in the same inbox, in the same structure.

Is our data secure?

Data is sent over encrypted connections, stored encrypted and processed in line with the GDPR. You set how long evidence is kept, and an audit log shows who viewed or changed a case.

Can we use it for statutory compliance records?

You can collect the evidence and keep it dated and together per site, which supports an audit. It does not replace a required physical inspection by a competent person.

How quickly can we start?

Pick one workflow, such as tenant damage reporting or contractor close-out. We set it up with you, and you can send your first link the same week.
