A photo in an email proves very little. Not when it was taken, not on which device, and not whether anything happened to it on the way to your desk.
Photos can be edited with AI in seconds, so a file that "looks fine" is no longer a standard a claims handler, a warranty team or a landlord can defend.
A claims handler receives a photo of a dented bumper and has no way to say whether it was taken yesterday or pulled from an old case.
A field service manager cannot show the customer that the "before" picture of a machine is untouched, so the argument about who broke it stays open.
A rental company or property manager holds a check-out record, the other party says it was altered afterwards, and nobody can prove otherwise.
Your team sends a secure personal capture link by SMS, WhatsApp, email or QR code. A notice before recording tells the customer that the recording is digitally sealed and checked for signs of editing, with a mandatory "I have read this".
The customer films in the mobile browser, one step at a time. Video and photos are recorded in the session, on this device. If you allow an extra upload for a particular form, that file is checked separately.
The moment the submission lands, the server records the receipt time, calculates a SHA-256 fingerprint for every file and applies a signed seal with a manifest.

Every case carries a card with the badge SEALED, the seal version, the SHA-256 fingerprint with a copy button and a download of the manifest.
A second card lists time (server receipt), location (only if the customer shared it) and authenticity (recorded in the session, unaltered). A customer who declines location is recorded as neutral, never as a penalty.
Dozens of individual events per session: link opened (recorded server side), recording started, second attempt, submitted, claimed, note added. These session events are part of the control points on every submission.
Signals are judged against a named, versioned rule set. An old case keeps the version it was assessed under; re-assessment happens on request.
Every signal type has its own setting: ignore, info, orange or red. A rental company can treat a device it has seen before as normal, where an insurer wants it flagged. Rules are named and versioned, so you can see which set a case was judged under.
Together with the signals and the device integrity signals, this is what a sealed submission means in practice: a verifiable digital chain of custody from capture to case.

What the seal covers, and what was true at that moment.
Every submission receives a server receipt time, a SHA-256 fingerprint per file and a signed seal with a manifest that can be verified outside Venta Capture. If a file changes afterwards, the fingerprint no longer matches. A timeline of the whole session sits next to it.
When the system received the submission. It does not prove when the damage occurred or when an event took place. The copy in the product says so, and so should yours.
Yes. The manifest is downloadable and the seal can be checked by anyone you hand it to, without an account. A view link lets an expert or a partner open the case without a login.
It means the file is unchanged since receipt and was recorded in the session on that device. A real recording can still show a staged situation. Sealed evidence is harder to manipulate, never impossible, and your team makes the decision.
Only if you allow it on that form. An existing file is labelled "Provenance: not verified" and then checked on far more than the recording itself: the time, device and location in its metadata, signs of AI editing, and whether the same image already exists somewhere on the internet. The case tells the reviewer exactly what it can and cannot prove.
