Questions teams ask before the first capture

Venta Capture, a product of VentaVid, is a guided visual capture platform: your customer, tenant, driver or contractor films what you need on their own phone, guided step by step, with no app and no account, and it arrives as a sealed, structured case in your team's inbox. Below are the questions we get most, grouped the way people ask them.

Questions

Does the customer have to install an app?

No. The secure personal link or QR code opens in the browser of any phone. No app, no account. Opened on a computer, the page shows a QR code to continue on the phone, because recording is only possible with the phone's own camera.

What if the customer does not open the link straight away?

That is the point. The customer films when it suits them, the team reviews when it is ready. Nobody has to be online at the same moment.

How does the customer know what to film?

The flow tells them, step by step: show this, film that, answer this. There is an example photo per slot, an instruction on screen while the camera runs, and one question at a time. You decide the order and the instructions; the customer follows.

Can the customer send old photos from their gallery?

Not by default: video and photos are recorded in the session itself. Per flow you can allow an extra upload, for the customer who already has a photo. That upload is checked on time, device, location, editing and whether it already exists on the internet, and it is labelled "Provenance: Not verified" with a plain-language advice line.

Does the customer see our brand or VentaVid's?

Yours: logo, colours, font, your own subdomain and your own sending domain for email on paid plans. The "Powered by VentaVid" line can be switched off, so everything goes out in your own branding.

What exactly do we receive?

Not a video in a mailbox but a case: video and photos, the answers per question, a transcript of what was said, timestamps, signals and context, under your own reference number. The sealed submission lands in a shared inbox with an owner and a status.

What if a submission is incomplete?

One click: retake. The customer gets the same flow, aimed at what is missing. The retake becomes a new case linked to the original, with the customer's reason for recording again on file.

How do we know the evidence has not been edited?

Every submission gets a server-side receipt time, a SHA-256 fingerprint per file and a signed seal with a manifest that can be verified outside our systems, plus a timeline of the whole session. If a file changes later, the fingerprint no longer matches.

Does Venta Capture detect fraud?

No. It gives signals: green, orange or red, against rules that you set. A signal is a reason to look, never a verdict. Harder to manipulate, never impossible, and your team decides.

What does the timestamp prove?

When the system received the submission. Not when the damage happened. The seal proves the file has not changed since; the receipt time proves nothing about the moment of the event itself.

Who picks up a submission?

Routing per flow or for the whole account, to a person or a team, with an SLA in hours. Optionally a case has to be claimed before it can be handled. In doubt? Escalate to a manager with a reason, and the decision lands in the case.

Does the customer get a copy?

If you switch it on for that flow, yes. At a rental or a hand-over the customer receives their own evidence straight after sending, so both parties look at the same file if there is ever a dispute.

Can an assessor or partner look at a case without an account?

Yes, through a view link. And with "copy for CRM" you paste the case into your own system in one go.

Does it connect to our claims system or CRM?

Yes: a REST API with scoped keys, webhooks, automations and connections to CRM and ERP systems, so the case lands where the decision is made.

Which languages does it support?

The capture flow runs in 15 languages and follows the language of the customer's browser, system texts included. The dashboard renders in the language of the user, Dutch included.

How are privacy and retention handled?

Encrypted in transit and at rest, GDPR-ready, with a retention period you configure and automatic purging after it. The raw IP address is deleted after a configurable number of days (default 14). If the customer declines to share location, the case says so neutrally and it counts nowhere.

What does it cost and how fast can we start?

There is a free plan, no credit card, and you are live in 10 minutes. Paid plans add your own name in the URL, everything in your own branding, teams and roles and more submissions.

Can we use Capture at first notification of loss?

Yes. Put the capture link in the FNOL confirmation, or show it as a QR code inside your portal. The claimant records the damage guided, and the handler starts with a sealed case instead of an empty form and three attachments.

Will the evidence hold up with an expert or a counterparty?

Each file carries a fingerprint and a signed seal, and the manifest can be verified without access to our systems. We say plainly what the record proves (receipt, integrity, the session) and what it does not (the moment of loss).

Can a handler push clean claims through faster?

A case without a flag can be moved on with one button. That button only sets a workflow status; approval and payment stay in your own claims system.

Can we see the fault before we send an engineer?

That is the main use. The customer or the operator films the machine, the display and the surroundings, guided, and the planner decides what goes on the van. Teams using Venta Capture report 79% fewer field service visits and 23% of problems solved without dispatching a technician.

Can our own engineers use it on site?

Yes. An engineer can start a capture themselves without sending a link, for proof of work, a site check or a hand-over. It lands in the same inbox.

Does it replace a site visit?

Not every one, and we do not promise that. It moves the first look forward, so the visits that remain are better prepared. Remote-first, not remote-only.

How does a trade-in appraisal work remotely?

The customer walks around the car on video, takes the fixed photos (each corner, the dashboard, the tyres), enters or scans the plate and answers your questions. The appraiser sees a complete, comparable case before the customer visits.

Can we compare check-out and check-in for a rental?

Yes. The same guided flow runs twice, at check-out as the baseline and at check-in as the comparison, and the two cases are linked in one file. A reviewer compares two sealed records; both parties can receive their copy.

Can the driver report fleet damage from the road?

Yes. The driver opens the link, films the damage guided, scans the plate or types it, and the fleet manager sees it in one inbox with a reference, an owner and a status.

Can a tenant do the check-in themselves?

Yes. The tenant films room by room in the browser, following your flow, and confirms a declaration at the end. Both parties can receive the record, so there is one file to point at when the tenancy ends.

How do maintenance requests work?

The tenant picks the type of problem, films it with the instruction on screen, and answers a question or two. Because the answer steers the flow, a leak that is still running gets a different set of steps from a dry stain, and the right trade is sent with the right part.

Can a contractor prove the work is done?

Yes. The contractor starts a capture on site or opens a link, films before and after, and the case lands with the manager for remote sign-off. Do not just mark the job complete: show the work.
