Venta Capture · Feature

It lands where the work already happens

A case that sits in a separate tool is a case nobody opens. Venta Capture, a product of VentaVid, is a guided visual capture platform: your customer, tenant, driver or contractor films what you need on their own phone, guided step by step, with no app and no account, and it arrives as a sealed, structured case in your team's inbox. From there it flows into the claims system, the CRM, the ERP or the ticket, by API, by webhook or by one copy button.

REST API with scoped keys. Webhooks on case events. Copy for CRM when a paste is enough.

Connections: REST API, webhooks, copy for CRM

Without it

The evidence arrives, and then somebody retypes it. The claim number goes into the claims platform, the photos get downloaded and uploaded again, the transcript gets pasted into a ticket. The case exists twice, and the two copies drift apart within a day.

Claims handlers, service planners and property teams judge the case in the inbox, but the outcome has to reach the system that runs the rest of the process.

Every manual hand-off loses a field, a photo or a reference.

Reporting on capture happens in a spreadsheet, because the data never reached the system that reports.

How it works

01

Send the link from anywhere

Create a capture link from the dashboard, or have your own system create it through the API against your own reference number.

02

Guided capture as always

The customer films on their own phone. What comes back is structured: answers per question, media, transcript, timestamps, signals, all under your reference.

03

A sealed case, and an event

The case lands in the shared inbox. A webhook fires on the event you care about (a new submission, a status change, a retake request), and an automation can act on it.

04

It flows into your system

Pull the case over the API, push it with an automation, or copy the view link plus the data for your CRM in one click. Reviewing still happens wherever your team prefers.

What it delivers

The case lands where the decision is made

Your handler opens the claim in the claims system and the sealed case is already attached under the same number. No island, no second login, no "did you see the email".

Nothing gets retyped

The reference your system already uses goes in on the way out and comes back on the way in. Answers, transcript and integrity data arrive as fields a system can read, not as attachments someone has to interpret.

Start with a copy button

Copy view link and copy for CRM work on day one, with no integration at all. The API and webhooks are there when your IT team wants the hand-off automated.

Connect your first flow to the system your team already opens every morning.

In the product

The Developers menu holds Automations, Connections and API keys

Automations run actions on events and conditions, with an overview of active, paused and draft automations and the runs today. Connections store the credentials of external systems (CRM, ERP, your own API or a partner API with a key), encrypted, for reuse in integrations and workflows.

API keys are bearer tokens with scopes, so an integration only gets the data it needs. The key is shown once. The REST API creates links and reads cases; webhooks notify your system of case events.

Per form, Workflows send an email on every submission, and advanced workflows add rules: if a field meets a condition (AND / OR), send an email to a named address. Notifications per route can carry the view link, the dashboard link or both.

Every case has two buttons: copy view link (for someone without a login) and copy view link plus data for CRM (paste the case into the system that holds the claim or the job). Each case carries your reference scheme and a separate "your reference" field, so the two systems agree on the number.

Processes where the hand-off matters most: first notification of loss into the claims platform, service intake into the workshop system, and the insurer set-up as a whole. Access control and key handling are on the security page; what the integrity data means is on sealed evidence. Glossary: case management, claims automation, dealer management system.

Questions

Does it connect to our claims system or CRM?

Yes: a REST API with scoped keys, webhooks on case events, automations and stored connections to CRM and ERP systems. For a quick start, every case has copy view link and copy for CRM.

Which systems do you have ready-made connectors for?

We do not publish a logo grid. Connections are set up per customer against the systems you already use; ask on the demo or the setup call which ones apply to yours.

What does a webhook tell us?

That something happened to a case: a new submission, a status change, a retake request. Your system then pulls what it needs over the API, under the reference number both sides share.

Can our system create the capture link?

Yes. Create the link through the API with your own reference attached, so the returning case carries the number your claim, work order or contract already has.

How is API access secured?

Keys are bearer tokens with scopes, shown once at creation. Connection credentials are stored encrypted. Every action on a case is logged against an account.
