Forklift daily check, defined: the operator's own inspection of a lift truck at the start of every shift, recorded before the truck moves a single pallet.
A forklift daily check (also called a forklift pre-use inspection or pre-shift check) is the visual and functional inspection an operator carries out on a lift truck before its first use each shift. It covers the items that can be checked without tools: tyres, forks, mast, chains, hydraulics, brakes, steering, lights, horn and the seat belt.
The definition matters because the daily check is not the same thing as the annual thorough examination. In the UK a lift truck falls under LOLER 1998 for its lifting parts and PUWER 1998 for everything else. LOLER requires a thorough examination by a competent person at least every 12 months (every six months if the truck lifts people). PUWER requires the truck to be maintained and inspected so it stays safe, and the HSE Approved Code of Practice for rider-operated lift trucks (L117) expects operators to carry out pre-use checks. In the United States, OSHA 29 CFR 1910.178 requires a lift truck to be examined at least daily before it is placed in service, and after each shift when trucks run round the clock. The daily check is the operator's layer. The thorough examination is the engineer's layer. One does not replace the other.
What a forklift daily check covers
The list varies by truck type (counterbalance, reach, pallet truck, LPG or electric), but a typical inspection checklist has two halves. The walkaround, with the truck switched off:
- Tyres and wheels: cuts, chunking, wear to the band, loose wheel nuts.
- Forks: cracks at the heel, bent tips, uneven height, positioning locks in place, wear against the marked limit.
- Mast, carriage and chains: chain tension equal on both sides, no kinked or stretched links, no missing anchor pins, backrest secure.
- Hydraulics: fluid on the floor under the truck, damp hoses, cylinder seals weeping.
- Overhead guard and bodywork: cracks, missing bolts, impact damage.
- Power source: battery secure and connectors clean, or LPG cylinder strapped in with no smell of gas.
- Data plate: legible, with the rated capacity readable.
Then the operating check, seated and belted: horn, lights and beacon, service brake, parking brake, steering play, lift, tilt and side-shift through their full travel, and any warning lamps on the dash. On many sites the operator also records the hour meter reading so the maintenance team can plan servicing.
Who does the check and who signs it
The operator does it, every shift, on the truck they are about to drive. The supervisor signs nothing on the operator's behalf. That is the point of the record: it shows that the person responsible for the truck that day looked at it and put their name to what they saw. Where several operators share a truck across a 24-hour operation, the check repeats at each handover.
Forklift daily check example: a cracked fork heel on a distribution centre truck
Picture a counterbalance truck at a regional distribution centre, start of the early shift. The operator runs the walkaround and notices a hairline crack where the fork blade meets the shank. The fork still lifts. The truck still drives. On a nil-defect form the crack would be one more box ticked. On a proper daily check the operator marks the defect, photographs the fork, tags the truck out of service and reports it to the shift supervisor. A replacement fork arrives, the engineer records the change, and the truck goes back into use with a note in the file linking the defect, the photo and the repair.
The alternative outcome, where the fork fails under load in the racking aisle, is what the record exists to prevent.
What a forklift daily check does not do
It does not certify the truck as safe for the year. Only the thorough examination does that, and a daily check finding nothing wrong is not evidence that the truck has been thoroughly examined. It does not replace planned servicing either. Brake linings, hydraulic pressures and mast wear need a technician with tools.
Recurring mistakes: operators ticking every box from memory before they have walked round the truck, a whole fleet showing nil defects for a year (a sign nobody is looking, not that nothing is wrong), forms with no truck identifier so the record cannot be matched to the asset, defects noted but nobody told, and pads of paper that vanish into a drawer until an incident makes them urgent. A check that is not recorded cannot be proven later, and an investigator will ask for the last 30 days of checks on the truck involved.
Where the record goes
The record is the product of the daily check. It needs the truck identifier, the date and time, the operator's name, the items checked, any defect found, and what happened to the defect. Whether that lives on a paper pad, a fleet management system or a defect log, it should be retrievable per truck and per date, and it should sit alongside the thorough examination report and service history as part of the truck's audit trail. Photographs of a defect, with a timestamp, are far stronger than a tick and a scribbled note when the maintenance team has to decide whether the truck can wait until Friday.
