Capture flow

Capture flow explained: what it is and how one gets built

A capture flow is the configured sequence of steps a participant works through when submitting visual information to an organisation, specifying what to record, in what order, with which instruction shown at each step and which questions are attached along the way. If guided capture is the principle, the capture flow is the thing that exists and can be edited.

A lease return flow and a water damage flow are different objects even when they run on the same platform. The difference between them is entirely the expertise someone encoded when they built each one.

What is a capture flow made of?

  • Steps. Each one asks for a single, nameable thing: the rear of the vehicle, the affected ceiling area, the appliance data plate.
  • Instructions. The short text or example image that tells the participant what good looks like. Most of the quality difference between flows lives here.
  • Media type. Photo, video or spoken explanation, chosen per step. Video suits behaviour and sound. Photos suit detail and identifiers.
  • Questions. Checkboxes, dropdowns and free text carrying the context images cannot: what happened, when it was noticed, whether the item still works.
  • Conditional logic. Branching that reveals further steps only when relevant, so nobody is walked through twelve prompts that do not apply to them.
  • Completion rules. Which steps are mandatory, and what happens when one is skipped.

How are capture flows built?

The usual method is to sit with the person who currently does the assessment and ask what they check, in what order, and what they always end up phoning back about. That last question is the most productive one, because a recurring callback is a missing step in disguise.

An automotive appraisal flow built this way tends to land on something like: front, rear, both sides, damage overview, damage close up, dashboard, mileage, interior, tyres, identification details, and a spoken explanation. A property flow lands somewhere completely different.

Two design constraints matter more than the rest. Length, because completion drops as steps accumulate and an eighteen step flow gets abandoned by people a six step flow would have kept. And instruction clarity, because "show the damage" and "stand about two metres back and show the whole panel, then move closer" produce very different submissions from the same person.

Capture flow example: a water damage report

A property team builds a seven step flow: room overview, ceiling, affected wall, floor, suspected source, close up of the worst area, and a spoken explanation. A conditional question asks whether the leak is still running, and if it is, an extra step asks the tenant to show the stopcock.

The same seven views then arrive from every tenant. The reviewer knows where to look before opening the case, which is what makes reviewing forty of them in a morning realistic.

Why capture flows are worth treating as assets

A capture flow turns individual expertise into a repeatable process. Without one, every employee explains the requirements differently to every customer, and every branch, region and shift ends up with its own version. With one, the same methodology runs across all of them, and submissions become comparable with each other, which is what makes remote review fast rather than merely possible.

It also raises the evidentiary value of what arrives. In property, the Tenancy Deposit Scheme's adjudicators repeatedly identify check in photographs as the most useful evidence in a dispute, because without a baseline it is close to impossible to separate new damage from pre existing wear. A flow that captures that baseline the same way every time is doing evidence work, not administrative work.

The same holds in claims. The Association of British Insurers found exaggerated loss to be the most common form of detected fraud in 2024, at £466 million, and exaggeration is precisely the category that consistent, contextual first submission evidence makes harder to sustain. Structured does not mean fraud proof, and nobody should claim it does. It means the reviewer has more to work with, and the decision stays with them.

Common mistakes in capture flows

  • Building one flow for everything. A generic flow asks the wrong questions of most participants and the right ones of none.
  • Writing instructions in internal language. Nobody outside the workshop knows what the A pillar is. Say the bit between the windscreen and the front door.
  • Making every step mandatory. Some things genuinely cannot be shown, and a hard block turns an eighty percent useful submission into no submission at all.
  • Never revisiting it. The retake requests a team sends most often are a live list of the steps a flow is missing. Reading them back into the flow is the cheapest quality improvement available.

Flows sit inside a wider vocabulary: remote inspection is the umbrella process, guided capture is the principle a flow implements, and a retake request is what happens when the flow did not quite cover the case in front of you.
