What is guided capture: guided capture explained
Guided capture is a method of collecting photos, video and answers in which the requesting organisation, rather than the person holding the phone, decides what gets recorded, in what order, and with what instruction at each step. The participant follows prompts instead of guessing what an expert wants to see.
The word carrying the weight is guided. It marks the difference between a request that hands responsibility to the participant and one that keeps it with the organisation, where the expertise already lives.
Why guided capture exists
Anyone who has assessed a claim, a trade-in valuation, a warranty request or a maintenance report from customer supplied photos knows the pattern. One photo is too close to show any context. The next is taken from so far back that the damage is a smudge. The dashboard is missing. A panel is photographed with nothing in frame to show where it sits on the vehicle. The noise the customer described would have taken two seconds of audio to identify, and there is no audio.
None of that is the customer's fault. A person reporting a problem has no reason to know what a loss adjuster, an appraiser or a technician checks. Asking them to send some photos is asking them to perform a professional task nobody trained them for.
Every missing view then costs a round trip: a call, a second request, a second wait, a second review. Guided capture moves that expertise to the front of the process, where it prevents the round trip rather than chasing it.
How does guided capture work?
- The request goes out. Usually a link by SMS, WhatsApp or email, or a QR code at a counter. Most current implementations run in the phone browser, so no app install and no account creation sit between the person and the first step.
- The participant is walked through a sequence. Each step names one thing to show, record or answer, with a short instruction and often an example image.
- Answers travel with the media. Conditional questions, dropdowns and free text sit alongside the video and photos, so the reviewer receives context rather than loose files.
- The submission arrives as a structured case rather than an email attachment, with the steps labelled, receipt timestamps recorded and any spoken explanation often transcribed.
- A reviewer can ask for exactly what is missing through a targeted retake request, instead of restarting the whole process.
Guided capture example: a scraped bumper
A customer reports damage to the front of their car. Instead of an open request for photos, they receive six prompts: the full front of the vehicle, both front corners, the damage from two metres back, the damage close up, the registration plate, and a spoken description of what happened.
The appraiser opens the case twenty minutes later with everything needed to price the repair. No call has taken place, and there is nothing to chase.
How guided capture differs from the terms around it
- Remote inspection is the umbrella category: any process where the assessor is not physically present. Guided capture is one way of running one. See remote inspection software for the wider category.
- Virtual inspection is frequently used for the live variant, where an expert joins a video call while the customer walks around the object. Guided capture requires nobody on the other end at that moment. The comparison is worked through in virtual inspection versus physical inspection.
- Asynchronous capture describes the timing model, not the guidance. A capture can be guided and live, or guided and asynchronous. The two ideas answer different questions: who decides what gets captured, and when it happens.
- A capture flow is the built artefact. Guided capture is the principle. Capture flows are the specific sequences someone configured for lease returns, or water damage, or a boiler fault.
Where guided capture gets used
Claims teams use it at first notification of loss (FNOL), where the quality of the first submission sets the pace of everything after it. The Association of British Insurers recorded £1.16 billion of detected fraudulent general insurance claims in 2024 across more than 98,400 claims, up 12 percent on the year before, which is part of why structured, contextual evidence collection has climbed the agenda in claims operations.
Automotive teams use it for trade-in appraisal, service intake, warranty submissions and lease returns. Field service organisations use it before dispatch, to understand a fault well enough to send the right person with the right parts. Service Council research puts the average first time fix rate (FTFR) at around 77 percent, and the distance between that number and a best in class one is usually an information gap rather than a skills gap. What guided capture is not
Guided capture does not perform the assessment. It gives a qualified person better visual access to a situation they cannot stand in front of. The diagnosis, the valuation, the claims decision and the certification all stay with the human accountable for them.
It also does not remove physical visits as a category. The realistic framing is remote first rather than remote only: see the situation first, then decide whether a visit is needed, and if it is, send someone who already knows what they are walking into.
