Virtual inspection

Virtual inspection explained: what the term actually means in practice

A virtual inspection is an assessment of an object, vehicle, property or site carried out through video and images instead of in person, and in most industry usage the term points specifically at the live variant, where an expert joins a video session while someone on site moves the camera.

That second implication is unofficial and inconsistent, which is exactly why the term causes trouble in requirements documents and vendor comparisons. Two teams can both say they need virtual inspections and mean completely different operating models.

How does a virtual inspection work?

The typical sequence is short and appointment shaped. A time is agreed. A link is sent, usually browser based so the customer avoids an app install. At the agreed moment both parties join. The assessor asks the person on site to move, zoom, hold still, read out a serial number or a mileage. Stills or a recording are captured as the session runs. Findings are written up immediately afterwards, often while the assessor is still on the call.

The strengths are real. The expert can chase a follow up question the moment it occurs to them, which no recorded submission can do. Ambiguity gets resolved in the room. For low volume, high value or genuinely uncertain cases, that is hard to beat.

Virtual inspection example: storm damage to a warehouse roof

A commercial property claim involves wind damage to a roof. The adjuster joins a scheduled video session and walks the site manager along the damaged run, asking him twice to pan back so it is clear which bay he is standing in.

Halfway through, the adjuster notices water staining on an internal wall that nobody had reported, and asks about the guttering above it there and then. That follow up existed only because he was watching live.

Where the live model strains

The cost is calendars. A virtual inspection removes travel but keeps the appointment. Two people still have to be available at the same moment, and one of them is being paid to be there. Volume is therefore capped by staffing: an operation handling a thousand assessments a month has to staff a thousand sessions, or accept a queue.

There is a quieter cost too. Reschedules, no shows and connectivity failures land on the same team that already reserved the time. Anyone who has run a live remote programme at scale recognises the pattern: the tool works, the scheduling does not.

This is why many organisations run a mixed model, keeping live sessions for complex or disputed cases and pushing routine volume through guided photo and video capture that needs no appointment at all.

How virtual inspection differs from the neighbouring terms

  • Remote inspection is the umbrella. Virtual inspection sits inside it, alongside guided self capture, drone and sensor methods, and desk review. The broader category is covered in remote inspection software.
  • Asynchronous capture is the direct contrast in timing terms. A live virtual inspection is synchronous by definition. Asynchronous capture removes the shared moment entirely.
  • Guided capture is about authorship of the checklist. In a live session the guidance is spoken by the assessor. In guided self capture the same expertise is built into the sequence in advance.
  • Physical inspection remains the reference point for both, and the trade offs are set out in virtual inspection versus physical inspection.

When do you use a virtual inspection?

  • Live virtual inspections suit complex, contested or high value cases, situations where the follow up question cannot be predicted, and workflows where a decision has to be reached in the moment.
  • Guided asynchronous capture suits high volume, repeatable assessments where the required views are known in advance and reviewer time is the constraint.
  • Physical inspection remains necessary where the assessment depends on touch, tools, disassembly or measurement.

Evidence quality cuts across all three. Aviva reported detecting more than 18,400 suspect claims worth £233 million across its brands in 2025, and specifically flagged a rise in claims supported by AI generated images and manipulated documents, particularly in motor. The Association of British Insurers' 2024 figures put motor at 53 percent of all detected fraudulent claims. As synthetic imagery gets cheaper, the provenance of a file starts to matter as much as its content. That pushes serious processes towards material recorded inside the session rather than selected from a gallery, receipt timestamps applied server side, and hashes that let a file be checked later against what was originally received. None of it decides whether a claim is honest. It gives the person who has to decide a clearer view of what they are looking at.
