Parts availability explained: what the term actually measures
Parts availability is the share of jobs where the correct part is on hand at the moment the work needs it. In field service that moment happens on a customer site, not in a warehouse, so availability is measured at the point of use: did the engineer have the part in hand, or not?

It is also written as spare parts availability or service parts availability, and it is closely related to, but not the same as, fill rate. The distinction is where most reporting arguments start.
What does parts availability mean in field service?
A central store can hold 98 percent of your catalogue and still fail almost every job, because the part that matters is the one sitting on the van at eight in the morning. Three different numbers get called "parts availability", and they answer three different questions:
- Fill rate. The share of orders satisfied immediately from stock. A supply chain measure. It says nothing about location.
- Line fill rate. The same thing counted per order line, which is stricter, because one missing line still stops the job.
- Availability at the point of use. The share of jobs where the engineer physically had the part on arrival. This is the only one that predicts a repeat visit.
If your fill rate is excellent and your first-time fix rate is not, the gap between the first and third measures is where the problem lives.
How does parts availability drive repeat visits?
The causal chain is short and boring, which is why it survives so many improvement projects. A job is booked from a described symptom. The specific failed component is unknown until the engineer opens the panel. The van stock was loaded against a general guess about that equipment family rather than against this fault. The diagnosis is right, the part is forty miles away, and the job becomes two jobs.
Customers experience that as the headline complaint about field service. In Aberdeen Group's March 2016 report First-Time Fix: A Metric That Drives Success, 61 percent of respondents cited "technician did not resolve the issue (parts, expertise)" as the reason customers complain, well ahead of appointment waiting times at 51 percent (n = 182). Parts and expertise sit in the same bucket in that data, so treat it as the size of the resolution problem, not as a clean parts-only figure.
Parts availability explained: a worked example
A lift maintenance team runs at 96 percent fill rate from the regional store and 71 percent first-time fix. Reviewing 90 failed visits shows 48 were parts, and 44 of those 48 parts were in the regional store the whole time. Nothing was out of stock. The stock was simply in the wrong place, which is a stocking and information problem, not a purchasing one.
How is parts availability improved?
Four levers, in rough order of how much they move the number:
- Know the fault before dispatch. Availability improves the instant you are picking against a confirmed component rather than a symptom.
- Reposition, do not just buy. Forward stocking locations and overnight replenishment change where stock sits without inflating the total.
- Stock by criticality, not by cost. A cheap part that stops a job outranks an expensive one that rarely fails.
- Fix the data. Serial numbers and bills of material that are wrong in the system produce confident picks of the wrong part.
There is a commercial pull in the opposite direction worth naming. Deloitte reports that the average operating margin from the aftermarket business globally runs at about 2.5 times the margin from new equipment sales, and that many manufacturers make 40 to 50 percent of overall profits from services. When parts are run as a profit centre, working capital discipline and job-level availability start pulling against each other, and the field usually loses that argument quietly.
A note on the figures you will read
Parts availability is a field where widely quoted percentages circulate without a locatable primary study behind them. The often repeated claim that a fixed share of failed first visits is caused by missing parts is usually traced back to secondary summaries of older research rather than to a published dataset. Use your own numbers. Your fill rate, your point-of-use availability, and the parts reason code on your own failed visits will tell you more than any benchmark, and they are the only figures you can defend in a review.
What parts availability is confused with
- Stock accuracy is whether the system's count matches reality. You can be perfectly accurate about not having the part.
- Lead time is how long a part takes to arrive once ordered. It shapes availability, it does not define it.
- Van stock is the physical subset of availability that travels to the job.
