Warranty and returns decided on evidence, not on a form

Venta Capture, a product of VentaVid, is a guided visual capture platform: your customer, tenant, driver or contractor films what you need on their own phone, guided step by step, with no app and no account, and it arrives as a sealed, structured case in your team's inbox. For warranty and returns that means the serial number, the fault and the answers, in one case, before anything is shipped.

Without it

A warranty claim or a return starts as a text box. "Stopped working." "Arrived damaged." "Doesn't fit." The person deciding whether to replace, repair, refund or decline has a sentence and, if lucky, one dark photo.

The product is shipped back, tested, and found to work as designed. Freight both ways, a technician's hour, and a customer who waited two weeks for nothing.

The serial number in the form does not match the unit that arrives, so the claim is bounced and the customer starts again.

Every claim goes through the same slow queue, because there is no way to tell a clear-cut case from one that needs a closer look.

How it works

Send the link with the claim number

The customer or dealer gets a secure personal link by email, SMS or WhatsApp, or scans a QR code on the packing slip, in the support portal or on the product itself.

Guided capture of the product and the fault

Scan the serial number first. Then the questions your warranty team would ask, with the flow adapting to the answer: "is it still switching on?" Yes films it running, with the sound. No asks for four photos of the damage.

Sealed case under your reference

The submission arrives under your reference scheme, with a server-verified receipt time, a fingerprint per file, a signed seal and a transcript of the customer's spoken description. Copy it for your CRM or ERP, or let the API and webhooks move it.

Review and act

The warranty handler claims the case, decides, and moves it to the next status. A clean case can be pushed on with the green-status button; a doubtful one is escalated to a manager with a reason. The decision stays in the case.

Fewer products shipped back to be found working

When the customer films the product running, the display, and the fault as it happens, the handler can see whether it needs to travel. A unit that works as designed can stay where it is, and a faulty one arrives with its case already open.

The right information the first time

Serial number scanned rather than typed. The questions an expert would ask, built into the flow, so the answer to question three decides whether the customer films or moves on. No follow-up email asking for "a clearer photo of the label".

Scan the serial number

The barcode or QR on the type plate, with a frame, a torch and manual typing as fallback. An example photo shows where the label sits.

Proof of purchase

A photo of the receipt or invoice. If you allow an upload for this step, the file is checked and labelled accordingly.

What is wrong?

A single-choice list: does not switch on, makes a noise, leaks, damaged on arrival, other. The answer steers the next step.

Questions

Does the customer need an app or an account?

No. The link or QR code opens in the browser of any phone. The customer scans, films, answers and submits. Nothing to install.

Can the customer attach the receipt they already have?

Yes, if you allow an upload for that step. Recorded photos and video are made in the session, on this device. An uploaded file is checked on time, device, location, editing and whether it exists online, and labelled as not verified.

Does Capture decide whether a claim is valid?

No. It gives your handler the serial number, the footage and the answers in one sealed case. Signals point out what to look at. Your team decides on repair, replace, refund or decline.

How does the case reach our warranty or ERP system?

Copy for CRM puts the view link and the data into the system you already use. A REST API with scoped keys, webhooks and automations move cases without anyone copying anything.

What if the footage does not show the fault?

One click requests a retake. The customer gets the same flow aimed at what is missing, and the new submission is linked to the original with the reason recorded.

Can dealers or repairers submit on behalf of customers?

Yes. A dealer or a technician can open the same link, or your own staff can start a capture themselves at the counter. Every route produces the same structured case.
