A motor claim lands in the queue. Fourteen photos, a 40-second clip, a two-line description. You're the claims manager, or the loss adjuster the file was routed to, and you have one question: is this enough to settle, or does someone need to go and look?

Most remote damage assessment software is sold on the first word. Remote. Nobody drives anywhere, cycle time drops, everyone wins.

The word doing the real work is the second one: assessment. Evidence that can't be placed, scaled or trusted isn't remote assessment. It's remote guessing with a nicer interface.

So this post stays at the desk. What a desk assessment needs from the evidence, when that evidence is enough, how to know it's genuine, and how to set thresholds your fraud team will sign. What remote damage assessment software does at the desk

Remote damage assessment is the decision half of a remote claim. The claimant, or whoever is standing next to the loss, captures it. A desk adjuster or handler then scopes the damage, checks it against the policy and the claimant's account, and decides: settle, ask for more, or send someone.

Software for that job does three things well or it does nothing:

  • It gets the right evidence in front of the handler, in one place, under the claim reference.
  • It tells the handler what it can and can't vouch for about each file.
  • It moves the file to the next step without a phone call.

That's a different job from inspection software, which is mostly about getting an expert's eyes onto the loss, on a scheduled call or on site. The line matters because the tooling choice follows from it.

A desk assessment stands or falls on three questions: can I see it, can I place it, and can I trust it. Each one has a plain meaning:

  • Can I see it? The damage is in frame, in focus, at a distance that shows what it is.
  • Can I place it? I know where on the object, which object, and how big.
  • Can I trust it? I know how the file came to exist, and that nobody has changed it since.

The practice is already mainstream. InsTech's market review counted 40 vendors in the space and found the technology in use at over 50% of the top global carriers.

And claimants are ahead of the process. In the 2026 J.D. Power U.S. Property Claims Satisfaction Study, 49% of homeowners submitted photos for estimates or payments, yet final payment still averaged 40.7 days. The evidence shows up on day one. The decision is what waits.

What a desk assessment needs from the evidence

"Send us some photos" is an instruction claimants follow literally. They photograph the dent, not the car. The stain, not the ceiling around it.

The handler gets detail without context, or context without detail, and writes back.

Here's what the desk actually needs, view by view, set against what an unguided request usually returns. Treat it as the minimum evidence set for a visual damage claim.

When I sit with a claims team building its first capture flow, the step they most often leave out is the scale reference. It costs the claimant three seconds, and it removes the most common reason a desk scope gets supplemented later.

One caution on the row most teams think they already have. The date and location baked into a phone photo (EXIF data) are set by the phone, editable with free tools, and stripped by most messaging apps before the file reaches you. Treat them as unverified unless the platform says otherwise, and treat the difference between upload and capture as the thing that decides how much weight the file can carry.

The placement and scale views are also your cheapest anti-exaggeration control. The ABI's latest detected-fraud figures put exaggerated loss at £466 million for 2024, up 10%, the largest single category. A dent with a coin beside it and the panel in frame is hard to inflate. A close-up on its own is not.

When remote evidence is enough to settle, and when it isn't

Every desk assessment resolves into one of three outcomes, and a good threshold policy says in advance which one applies. That is what claims triage means once the evidence is on the desk.

  • Settle. The required views are present, the severity sits inside the desk band, the account matches the damage, coverage is clear, and the signals are quiet.
  • Supplement. Something is missing or ambiguous. A targeted retake request ("film the rear wheel arch again, further back, with the number plate in frame") or one follow-up question fills the gap without restarting the claim.
  • Escalate. Severity, liability, injury, structural risk or accumulated signals take it out of desk scope. To a loss adjuster on site, to a specialist, or to the fraud team.

Your desk ceiling depends on the book, not on the software. Motor cosmetic damage, glass, escape of water below a set value, storm damage to fences and outbuildings, and contents under a threshold are where most teams start. Anything with a photo estimate already in play is a natural candidate.

Carriers that have been doing this for years all draw the same line: lower-value, visually assessable claims settle from the desk, and complex damage still gets a visit. AXA UK assesses lower-value home claims by video, escape of water and spilled paint among them, and says plainly that "a cash settlement can be agreed on the call" while "more complex damage would need to be inspected on-site". Its model is a booked call with an in-house team, the appointment-based route. The thresholds are the same however the evidence arrives.

Two more data points from further afield. Davies, a large claims services group, lets policyholders self-survey residential claims by uploading photos and video from a link, with each submission run through 35 authenticity tests before an adjuster reviews it. And Travelers reported more than 50,000 inspections in the first ten months of turning policyholders' smartphone photos into 3D exterior measurements, so a desk could scope a roof without anyone climbing a ladder.

Notice what those programmes share: none of them asks the desk to decide from unguided photos. The evidence is structured before the decision is made. Provenance: the hardest question at the desk

"Can I see it" and "can I place it" are solvable with instructions. "Can I trust it" is harder, and it's getting harder every quarter.

UK insurers detected £1.16 billion of fraudulent general insurance claims in 2024, across at least 98,400 claims, with motor accounting for £576 million of it. Aviva alone flagged more than 18,400 suspicious claims worth £233 million in 2025 and reports a growing share supported by AI-generated or edited images.

In Belgium, the federation Assuralia proved €181 million of fraud in 2025, a quarter more than the year before. If your desk settles from a JPEG in an email, every one of those trends lands on your handlers.

The practical distinction is where the file came from. A photo pulled from a gallery has a history you can't see: taken when, by whom, edited how, sent through which app. A photo or video recorded now, on this device, inside a flow you control, has a much shorter history, and the platform can vouch for most of it.

A sealed submission tells the desk what the platform can vouch for and what it can't, item by item, and that honesty is the whole point. Three honest limits, because your fraud team will ask:

What a sealed case does not prove.

  • The receipt time is not the event time. It proves when your organisation received the submission, not when the damage happened. Keep the two apart in your notes and the timestamp stays credible in a dispute.
  • Harder to manipulate is not impossible to deceive. A genuine recording can still show a staged scene, a borrowed vehicle or a conveniently framed room.
  • A signal is a reason to look, never a verdict. Device integrity signals, a device seen on an earlier claim, virtual-camera software on the phone: each carries its own caveat in the interface, and each is set by you to ignore, info, amber or red. The decision stays with the handler and the SIU.

That restraint is a feature. A tool that claims to detect fraud invites your investigators to distrust it. A tool that raises a fraud indicator and explains it fits how they already work.

How asynchronous assessment runs with Venta Capture

Two operational notes for anyone handling claims for more than one carrier or scheme. Separate flows, routes and visibility can sit side by side inside one organisation, so scheme A's thresholds never leak into scheme B's queue. You won't settle every one of those 400 at the desk. The point is that the ones which do settle aren't waiting for a slot, and the ones which escalate go out with the views already captured. Where the days actually go inside a claim is worked through in reduce claims cycle time.

A starter threshold policy for one claim type

One claim type and a page of rules is enough to start. A programme can come later, once the numbers argue for it.

  • Pick the claim type. Low-severity motor cosmetic damage, glass, or escape of water under a value you choose. High volume, visual, low escalation risk.
  • Write the required views from your best assessor's checklist. Sit with the handler everyone trusts and turn their mental list into steps: context, placement, close-up, scale, identifiers, account. Those become the flow.
  • Set the desk ceiling. A value, a damage type, or both. Write down what sits above it and who takes it.
  • Set the signal rules. Decide which signals are ignore, info, amber or red for this claim type, and what a single amber means versus two.
  • Write the escalation triggers. Contradictory account, red signal, third-party involvement, injury, structural risk. Named outcome, named owner. A TPA handling for several carriers will want these per scheme.
  • Measure three numbers for a quarter. Desk-settle rate, supplement rate, and reopen or dispute rate on desk-settled files. The first tells you the policy works, the second tells you the flow is missing a view, the third tells you the ceiling is wrong.

The clock you're racing isn't abstract. J.D. Power puts the average repair cycle for a repairable vehicle at 19.3 days in 2025, and every day the first assessment waits for a slot is a day added to that.

A desk decision on day one is the cheapest decision you'll make on the file.

You can't know it from the pixels alone, and no tool should claim to.
