Two proposals on the desk, both with "remote visual" in the title, both promising fewer site visits. One is a video-call tool with annotation. The other sends the customer a link and gives you a file. The ticket that started the whole exercise says "intermittent fault, customer can't describe it", and neither proposal says which of the two you need for that.
If you run a service desk or a dispatch board, you will meet this confusion at every renewal. Vendors on both sides use the terms as if they were interchangeable, and the top-ranking guides say the technology is identical and only the "application context" differs.
It isn't identical. The two produce different outputs, at different times, at different points in the job, with a different person directing the camera. Get that straight and the buying decision mostly makes itself.

The short answer: one produces a moment, the other produces a record
Remote visual assistance is a synchronous session. A customer, a junior technician or a contractor points a phone at the problem, an expert watches the feed, draws on it, and guides the person to a fix or a decision while both are on the line. When the call ends, the problem is either resolved or it isn't. That is the product.
Remote visual inspection, in the sense a service or claims operation uses the term, is an asynchronous record. The organisation defines what has to be captured, the person on site captures it in guided steps, and the submission lands as a structured case that someone reviews later. Nobody needs to be watching while it happens.
The clean test: if the value disappears when the connection drops, you were buying assistance; if the value is the file that arrives, you were buying inspection. Everything else in this post follows from that.
One reason the terms blur: the market is dominated by the session side. IBM cites Verified Market Research putting the augmented-reality remote assistance market at 1.6 billion dollars in 2023, heading for 14 billion by 2030, and IBM's own definition of remote visual assistance is "real-time live video". When the biggest vendors describe inspection, they describe it with the same live-session workflow, because that is what they sell.
The older meaning of remote visual inspection comes from non-destructive testing: borescopes, push cameras and crawlers that let an inspector see inside something a person cannot enter. That version has always been about the record too. The smartphone just moved the camera from the inspector's kit to the pocket of whoever is already standing there.
Four differences that matter more than the feature list
Feature lists on both sides look alike: video, photos, annotation, a link to join, a dashboard. The differences that decide whether the tool earns its keep sit underneath.
Output: a resolved moment vs a case that lives on
An assistance session's value is spent the moment it works. The customer's boiler runs again, the contractor tightens the right terminal, the junior technician learns the sequence. Unless someone writes it up afterwards, the ticket says "resolved on video call" and nothing else.
An inspection's value is the file. A guided submission carries the footage, the answers to the questions you set, the time it was received, the device it came from, and the history of anything that was recorded again. It goes into case management, gets routed, and is still there when a customer disputes the invoice six months later.
That is why proof of work in field service is an inspection problem. You cannot prove a completed job with a call that ended.
Timing: synchronous vs asynchronous
A session needs two calendars to line up and a connection that holds for the duration. The customer has to be at the equipment, with a charged phone, at the moment your expert is free. For a skilled engineer stuck at a substation at 2 p.m., that is fine. For 300 customers who each reported a fault this week, it is a scheduling operation on top of the service operation.
Asynchronous capture removes the appointment. The link goes out with the ticket, the customer records when they are next to the machine, and the reviewer opens it between other jobs.
A live session couples expert time to customer time one to one; a record decouples them, so 200 open requests need review time, not 200 staffed sessions. Where it sits in the job
Assistance lives in the middle of the job. Someone is on site, has hit a wall, and needs a more experienced pair of eyes right now.
Inspection lives at the edges:
- Before dispatch: pre-visit assessment, triage, a quote. Does this need a visit, which skill, which part on the van.
- After the job: completion evidence, before-and-after condition, a handover the customer signs off.
- Between visits: the periodic "show us the state of it" request for leased or maintained assets.
A team that already runs remote diagnostics before dispatch is usually doing inspection, whatever the vendor called it. A team escalating a stuck technician to a specialist is doing assistance. Most service organisations need both, at different steps, and the mistake is buying one tool and pushing it into the other step.
Who directs the camera
On a live call, the expert directs. "Go closer. Show me the label. Now the connector underneath." The person on site is the hands; the expert is the eyes. That is powerful for exactly as long as the expert is on the line.
In an asynchronous inspection, nobody is directing in real time, so the flow has to do it. Guided video capture means the steps, the order, the example photo per slot, the instruction on screen while filming, and the yes/no question that decides what gets asked next. The expertise is built into the request before it is sent, which is the whole difference between guided photo capture and "send us some pictures".
This matters more than it sounds. A Harvard Business School working paper by Palmarozzo, Toffel and Ouellet, covering nearly 35,000 compliance audits from 2019 to 2021, found remote audits detected 25% fewer violations than in-person ones, and 59% fewer on the clauses that depend on direct observation. Part of the reason is who holds the camera. When the person being observed decides what the remote reviewer sees, the reviewer sees less. Guidance and required slots are how an inspection flow claws some of that back without an expert on the line.
How we drew this line
This is not a product test, and we are not going to pretend it is. We read the definitions the largest live-video vendors publish, IBM's and Wikipedia's framings, and the two datasets that actually quantify remote work in this space (the HBS audit study and Aquant's 2025 field service benchmark). Then we set those against what we know from building the record side: what a submission has to carry to be routable, reviewable and defensible after the fact.
Where we cite a number it has a source link. Where we describe how a capture flow behaves, it is how ours behaves. We have not named any vendor on the session side, because the comparison is between two kinds of product, not two companies.
Which one you need
Aquant's 2025 benchmark, built on nearly 160 service organisations and over 600,000 technician records, puts 14% of truck rolls as unnecessary: one in seven. The same report finds a failed first visit adds two more visits on average and stretches resolution by 14 days, and that first-time fix rates run from 86% at the top performers down to 53% at the bottom.
Both tools attack those numbers. They attack them at different points, so the decision rule is about where your waste is.
Choose remote visual assistance if
- The person on site is skilled and stuck. A technician who needs a specialist's eyes on a fault right now gets more from ten minutes of live guidance than from any form.
- The fix depends on back-and-forth. "Try this. No? Now try that." Iteration in the moment is what a session is for.
- A step is safety-critical. If the wrong move on site hurts someone, you want an expert watching it happen.
- Volume is low and value per case is high. Twenty escalations a week across a specialist team is a session workload. Two thousand consumer faults is not.
Choose remote visual inspection if
- The decision can wait an hour. Triage, quoting, parts, remote triage before dispatch: none of it needs both parties on the line.
- The person on site is untrained. A customer, tenant or driver does not know what a technician needs to see. A guided flow does.
- You need the file afterwards. Disputes, warranty, audit, proof of work, condition at handover.
- Volume is the problem. Every open ticket that could be assessed from a submission is a truck roll you can decide on before a van moves. That is the argument we make in full in how to reduce truck rolls.
You need both if
- Assistance sessions should end in a record. If your experts resolve faults on video calls today and the ticket says nothing usable afterwards, add a capture step at the end.
- Inspections sometimes need escalation. A submission that shows something the reviewer cannot resolve from the file is the right trigger for a session, with the file already attached.

What an inspection has to contain to count as a record
This is the section the "same technology, different context" argument skips. A recorded video call is not an inspection record, and neither is a folder of customer photos. A record has to answer, later and to someone who was not there, what was captured, when, by whom, under what instructions, and whether it has been touched since.
The steps the organisation chose, in order. The record shows the request, not just the response. A reviewer can see that the customer was asked for the data plate, the fault display and a 20-second walkaround, and which of those came back.
The answers, alongside the footage. Yes/no and multiple-choice answers, free text, a spoken explanation transcribed and searchable. This is what makes a case filterable and routable rather than watchable.
Server-verified receipt time and device context. A timestamp that proves when the submission arrived, logged by the receiving system rather than the phone. And be precise about what it proves: receipt, not the moment the fault occurred.
The retake history. When something is recorded again, the record should say so and say why. In Venta Capture a retake always asks the submitter for a reason and stores it, and the new capture links to the original as a separate case.
An integrity seal someone else can check. A sealed submission carries a SHA-256 fingerprint and a downloadable manifest, so a third party can verify nothing changed after arrival. That is the practical form of digital chain of custody for a service case.
A reference your own system already uses. The case number in your format, plus a field for the work order or claim number from the system that will act on it.
A way to hand it on. A view link for the technician who has no login, and a copy for the CRM or ticketing system, so the review and retake loop does not end in a screenshot pasted into an email.

The honest limits of both
Remote sees less than a person in the room. The HBS numbers above are the cleanest evidence: 25% fewer violations found overall, 59% fewer where observation matters most, and the authors point at lost smell, lost sound and lost corridor conversations as the reasons. That applies to a live call and to a submission alike.
So neither tool eliminates visits, and anyone promising that is selling. What they change is the order: see first, then decide whether to send someone, and send them better informed when you do. Remote-first works as an operating model. Nobody in this space can honestly promise remote-only.
Two more limits worth stating plainly, because the marketing on both sides tends to skip them:
- A capture tool does not diagnose. It gives the person who can diagnose better visual access. The judgement stays with your engineer, and any signals the platform raises about a submission are reasons to look, never verdicts.
- A session tool does not document. Unless you add a capture step, what happened on the call lives in the expert's memory and a one-line ticket note.

Frequently asked questions
Is remote visual assistance the same as remote visual inspection?
No, although vendors use them interchangeably. Assistance is a live session where an expert guides someone through a camera in real time. Inspection is a structured capture that lands as a record for review, and the two need different tools.
Is remote visual inspection always live?
It doesn't have to be, and at volume it usually shouldn't be. A guided, asynchronous capture lets the person on site record when it suits them and your team review when ready. Live inspection is one option; the record is the point.
Can a recorded video call count as an inspection record?
Only in a weak sense. A recording shows what the camera happened to see, without the structured answers, the request that prompted it, server-side receipt time or an integrity seal. If you need the file to hold up in a dispute or an audit, capture it as an inspection.
Which is cheaper to run at volume?
Inspection, because it does not need an expert per session or an appointment per customer. Assistance costs scale with expert hours on camera; inspection costs scale with review time, and a reviewer can decide on a file in a fraction of a session's length.
Do customers need an app for either?

What does the timestamp on a remote inspection prove?
